'Reigate goes Royal' Event Information & Frequently Asked Questions

When is the event?
This event will be held on Sunday 20th May 2012. It is a full day event but exact times have still to be agreed.

Where is the event?
The event is to be held at Hever Castle, Nr Edenbridge, Kent.

How will we get there?
Division is arranging coach transport for all participants. Details about pick up points will be given nearer the time.

What are the key dates for registration, booking etc?
Jan 31 - initial registration to be complete
Feb 03 - badge competition designs submitted to your District Commissioner or Hever representative
Feb 10 - deposit cheques required
Mar 01 - final confirmation of numbers form will be available for completion together with participant information & consent forms.
Mar 31 - final confirmation of numbers to be submitted
Apr 07 - final balance of fees to be paid
May 05 latest - Unit contacts will have received final details of their schedule for the day, including coach pick up times, location, identity stickers for each girl etc.

How & when do we pay the deposit?
Make a cheque payable to Reigate Division Guide Association in the sum of £30 and send it with a copy of your booking confirmation e-mail to the Division Treasurer (address on the email) to reach there by 10th February at the latest.
The final balance of the fees should be paid the same way to reach there by 7th April.

Can my girls produce a full page design for the Badge Competition – there is a lot to fit in to the little shapes?
Yes, it is perfectly acceptable for girls to put their entries onto an A4 piece of paper which is the right shape.  The manufacturer will transpose the design for us.

What do we need to bring?
Full details will be provided later, but all participants will need to bring a packed lunch and clothing suitable for the weather conditions. All members are expected to wear official Guide-wear.

What about permission forms?
These will be available for Leaders to download and distribute to parents when entering final numbers in March. Unit Leaders are responsible for ensuring information & consent forms are obtained, and that each participant carries a copy with them on the day. The Leader's contact details on the form should be the mobile phone number(s) of Leaders attending on the day.

What activities are planned for the day?
Without spoiling the surprise, there will be lots of activities to choose from, including activities specific to Hever such as the castle, mazes etc – see the Hever Castle website. Our activities will be based on a Royal theme in keeping with the Diamond Jubilee and we will all come together at the end for a grand closing ceremony. Please note that we expect this event to be very popular and there are limits on the number of people that can physically fit through a maze (for example).  As such it may not be possible for groups to do everything on offer.

The cost for the day is £25 per person, do Leaders have to pay?
Yes, Leaders must pay because we need to cover the cost of transport, the entry charge to Hever Castle and the Girlguiding event costs. 

If I haven’t enough adults to meet the ratio of girls to leaders, what do I do?
Talk to another Unit and see if you can join up and share leadership, or contact your District Commissioner who will be able to help you.

I have a unit member with disabilities – will you be able to cater for them?
Yes  with your help! – please e-mail the when registering for the event, or as soon as possible thereafter, with details of the disabilities and special requirements and we will come back to you.

Can I reduce the cost of the day by using my own transport?
No, there is very limited parking at Hever and this is required for members of the public.  All Leaders and helpers must travel by coach with their Unit unless otherwise advised by the organising team.

Are adults needed to help at the event?
If you have more Leaders going than you need for ratio purposes, then it would be very helpful if they could contact . Inevitably, we will need additional help with crafts and activities.

I have been asked by a parent if siblings can attend -  what shall I tell them?
Siblings can attend independently as members of the public, as long as they are accompanied by a parent or guardian who is not involved with supervising the Unit or assisting with activities; the child’s father for example.  They will have to use their own transport to get to Hever and pay the normal Hever Castle entry fee.

Will girls need to bring any money?
Yes, within reason.  There are ice cream kiosks and a shop on site.
